New RFID Implementations, Hardware and Tags

Most RFID projects don’t fail because the technology doesn’t work. They fail because the wrong technology was specified, the vendor scope was poorly defined, or the system was never properly tested before go-live. Bringing in an independent RFID consultant at the right moment can make the difference between a project that delivers and one that drags on for months past deadline.

Here is when independent guidance genuinely pays for itself.

You’re Writing a Specification or Going to Tender

If you are preparing a specification document or running a competitive tender, you need someone who is not tied to any particular vendor or product line. An independent consultant can write a clear, technology-neutral specification that defines your actual requirements without unintentionally locking you into one supplier’s ecosystem.

This matters more than most people realise. Vendor-authored specifications are written to favour their own systems. A neutral spec opens up competition, improves pricing, and ensures the responses you receive are genuinely comparable. The cost of getting specification writing wrong is buried in change orders, rework, and long-term vendor lock-in.

You’re Evaluating Competing Vendor Proposals

Comparing RFID proposals is not straightforward. Read rates, tag performance, antenna coverage, and middleware capabilities are all quoted in ways that make direct comparison difficult. An experienced consultant knows what questions to ask, what benchmarks to look for, and where the gaps in vendor claims usually appear.

Without that technical depth, procurement teams often end up selecting on price alone, only to discover later that a cheaper system requires significantly more infrastructure to perform at the required level.

Your Project Is Already In Trouble

Sometimes the call comes late. A system is underperforming, a vendor relationship has broken down, or commissioning has stalled. Independent consultants are regularly brought in to diagnose what has gone wrong, negotiate a path forward with vendors, and provide the technical assurance needed to get the project back on track.

This is project assurance work. It is forensic, methodical, and completely separate from having any commercial interest in the outcome.

You’re Entering an Unfamiliar Application Area

RFID behaves very differently depending on environment and application. A consultant with experience across HF, UHF, and NFC deployments in retail, logistics, healthcare, or access control brings pattern recognition that in-house teams rarely have. If you are deploying RFID in a new application area for your organisation, that breadth of experience is directly applicable.

When Going Direct to a Vendor Makes More Sense

Independent consultancy is not always necessary. If you have a well-understood, contained requirement, a trusted vendor relationship, and internal technical resource to manage the project, going direct is often the right call. The value of independent guidance scales with project complexity, budget, and the degree of technical risk involved.

For large-scale deployments, multi-site rollouts, or projects where the consequences of getting it wrong are significant, independent oversight typically recovers its cost many times over. For a straightforward single-site pilot with a known vendor, the overhead may not be justified.

What to Look For in a Consultant

Genuine independence matters. Look for consultants who carry no vendor affiliations, do not resell hardware, and have no financial interest in any particular outcome. Ask for examples of specification documents they have produced and tender processes they have managed. Sector experience is useful, but breadth across RFID application types is often more valuable than deep focus in one vertical.

The best consultants will tell you when you do not need them. That is usually a reliable indicator that you can trust their advice when you do.
